Real Estate Transaction Management Services

Full Service Transaction Coordination - $400

  • Review executed contract, addendum and disclosure for accuracy and completion - gather any documents/missing items needed from Client or other Agent
  • Note all important deadlines, contingencies, special provisions, and details within the contract
  • Confirm earnest and option money is received/receipted within the deadline
  • Create a Google Drive transaction folder (if applicable) and maintain it through to closing
  • Update MLS Status or remind other Agent to update MLS Status
  • Send introduction email to client with important contract dates. CC their Lender and the Title Company. Include the Contract and Important documents thus far
  • Add important contract dates to the Agent’s calendar - include the client on some calendar reminders (Option Period Expiration and Closing)
  • Send Intro email to the Title Company, other Agent and Lender
  • If Inspection info is provided, calendar it for the Client and Agent and inform the Listing Agent, if applicable
  • Confirm survey and complete T47 received and reviewed/approved. If a new survey is needed, assist with ordering/tracking
  • Confirm if ECAD is needed. If needed, assist with obtaining/tracking
  • Draft and Send Amendments
  • Distribute Amendments and new important documents to appropriate parties
  • Obtain Compliance required documents and corrections and provide Agent with a Compliance Package - Service does NOT include submitting into the Agent's Brokerage System (see additional services)


Post Option Period:

  • Draft and Send Amendments as needed
  • Confirm that the appraisal has been ordered
  • Send Client a Post Option client service email with Moving Tips, Closing Tips, etc
  • Confirm that the Client receives the title commitment
  • Check on the Loan post option, 10 days from option expiration, and before closing to confirm that is remains on track
  • Confirm the HOA documents are paid for (if applicable) and received within the contract deadline
  • Keep the Client informed of any Lender updates, important news, milestones
  • Confirm the appraisal has been received and looks good
  • Confirm the loan is fully approved/clear to close and remind the Buyer and Lender about CD acknowledgement.
  • Provide Buyer with Home Warranty info and Brochures - obtain their home warranty decision and get invoice and order confirmation into the file
  • Assist with scheduling closing and calendaring event for Client, Agent, Lender, New Home Sales
  • Provide Buyers with Utility info - calendar utility provider reminder 10 days prior to closing
  • Send the Client a Utility Reminder email with final pre closing reminders and tips
  • Confirm that repair receipts are distributed to cover all agreed upon repairs and all are confirmed as PAID 
  • Make sure all necessary parties have copies of repair receipts
  • Confirm the DA is sent to the title company and follow up with the Agent’s commission delivery details.
  • Request Settlement Statement for review, from the title company
  • Confirm that the Lender or Title Company distribute the approved Settlement Statement
  • Send Closing Email and confirm the client's plans to deliver their cash to close funds
  • Confirm the final walk through plans with the Agents - calendar for our Client
  • Confirm the “Final Details” about the house, mailbox etc are collected/distributed
  • Schedule Sign and Lockbox pick up details - place reminder on the Agent’s calendar 
  • Confirm funding with the Title Company
  • Update MLS to Sold
  • Close out Transaction in Agent’s Transaction management system and update address if received
  • Send Thank You email to the Client with important documents attached: Final Settlement Statement, Survey, Home Warranty, ECAD 


Early Termination Fees:

- During Option Period - $75

- After Option Period - $100

- Within 7 Days from Closing Date  - $375


New Home Transaction Coordination Service - $400

  • New Home Transaction Coordination is unique! Your Buyer will appreciate the care and value provided by a closing coordinator during the new home building process. They will thank you.
  • Review executed contract, addendum and disclosure for accuracy and completion - gather any documents/missing items needed from Client or other Agent
  • Note all important deadlines, contingencies, special provisions, incentives and details within the contract
  • Confirm deposit money is received/receipted within the deadline
  • Create a Google Drive transaction folder (if applicable) and maintain it through to closing
  • Intro to Builder Sales Rep with list of questions, if needed
  • Remind Builder to update MLS Status
  • Send introduction email to client with important contract dates. CC their Lender and Title Company. Include the Contract and Important documents thus far
  • Add Closing date and any meeting/walk through/inspection dates to the Client and Agent’s calendar, as the transaction progresses
  • Add Stage Check Ins and Action plan reminders to Coordinator calendar (only) to help move the process along in timely manner
  • Add “Final Inspection Check In” reminder to Agent and Coordinator calendar to be sure a final inspection is not missed, if the Client wants one
  • Distribute Amendments and new important documents to appropriate parties
  • Obtain Compliance required documents and corrections and provide Agent with a Compliance Package - Service does NOT include submitting into the Agent's Brokerage System (see additional services)
  • Send Client an Inspection reminder/inquiry email to confirm if they want Independent Inspections, note the file
  • Confirm that the appraisal has been ordered - 30 days before closing
  • Send Client a Move Prep email with Moving Tips, Closing Tips, etc
  • Confirm that the Client receives the title commitment
  • Check on the Loan 30 days from Closing and again 10 days before closing to confirm that it remains on track
  • Confirm the HOA documents are received by the Client, before closing
  • Confirm the Home Warranty details are received by the Client, before closing, or confirm how they are being delivered to the client
  • Confirm the appraisal has been received and looks good
  • Confirm the loan is fully approved/clear to close and remind the Buyer about CD acknowledgement
  • Assist with scheduling closing and calendaring event for Client, Agent, Lender, New Home Sales
  • Provide Buyers with Utility info
  • Confirm that any Inspections conducted are put onto the calendar to inform the Builder
  • Assist with setting inspection if I can do so via email with the inspector and will CC Client and Agent
  • Confirm that Inspection reports are emailed to the Builder (by the Agent)
  • Confirm the DA is sent to the title company and follow up with the Agent’s commission delivery details.
  • Request Settlement Statement for review, from the title company
  • Confirm that the Lender or Title Company distribute the approved Settlement Statement
  • Send Closing Email and confirm the client's plans to delivery their cash to close funds
  • Confirm the final walk through plans with the Agents - calendar for our Client
  • Confirm funding with the Title Company
  • Close out Transaction in Agent’s Transaction management system and update address if received
  • Send Thank You email to the Client with important documents attached: Final Settlement Statement, Survey
